What is Smartex?
Smartex is an Executive Information System (EIS) built on Microsoft technologies that helps leadership teams run the business on facts, not opinion. It maps processes, surfaces knowledge worker administration overhead and pseudo-productivity, and aligns everyone around shared goals with live KPIs and a simple governance rhythm.
Who is Smartex for?
Executive teams and senior managers in SMEs and mid-market organisations that want clear visibility of
process effectiveness and efficiency, less operational noise, and a healthier culture. Smartex is currently focused on UK-registered companies.
What makes Smartex different?
Three things: (1) a rules-based EIS with standardised, executive-level KPOs/KPIs across the value chain, (2) deliberate detection of knowledge worker administration overhead and pseudo-productivity, and (3) calm, pragmatic UX so leaders get clarity without spreadsheet sprawl.
Do I need complex change to try it?
No. Start with the Discovery Survey to baseline where you are. Then import a small set of KPI data, map a handful of core processes, and review the first dashboard with your leadership team.

What are the core modules?
Smartex centres on an EIS with four pillars:
- KPI Dashboard, executive KPIs and trends.
- Productivity Pipeline, map work, spot pseudo-activity and knowledge worker administration overhead.
- Innovation Centre, ideas and improvement tracking.
- Efficiency Hub, tools and models for day-to-day performance.
How do KPOs and KPIs work in Smartex?
Each value-chain activity has a small, executive-level set of KPOs with recommended KPIs. You can keep the standard set for cross-company consistency or add your own. The goal is universal, big-picture focus - not micromanagement.
How many processes can we map?
Up to 27 processes, 3 per activity across Porter’s 9 value-chain activities (5 primary, 4 support). This creates a balanced spread across the business.
What is the Reporting Automation Monitor?
It is part of the employee-driven insight layer within the Smartex EIS, captured through the TCOD (Time Consumption of Duties) system. Employees log recurring reports, owners, and frequency (weekly, monthly, etc.), then Smartex tracks how many are automated versus manual, highlighting quick wins for process improvement.
Data, security and technology
What platform does Smartex use?
Smartex is designed for Microsoft’s ecosystem (Power Platform, Excel/Power BI visuals where appropriate). This keeps deployment pragmatic and integration paths familiar.
Where is our data stored?
In Microsoft Dataverse within your assigned environment. Each customer’s data is isolated. We manage the environment and capacity as part of your subscription.
Can Smartex integrate with our systems?
Smartex keeps things simple. Instead of connecting directly to your systems, you will use secure import and export forms built into the platform. These handle the data capture Smartex needs, from TCOD submissions to KPO Process forms, with options to append or replace existing entries. This keeps setup clean, avoids dependency on legacy systems, and ensures you stay in control of your data.
Will it slow my teams down?
Quite the opposite. Smartex helps reduce burnout by revealing knowledge worker administration overhead and pseudo-productivity, then supporting leaders to redesign workflows so people spend more time on meaningful, value-adding work. By making workloads visible and aligning effort with purpose, Smartex reduces friction, confusion, and stress, helping teams work more calmly and effectively.
Access, licensing and onboarding
How do we get access to Smartex?
Smartex runs securely on Microsoft Power Platform. Each client receives a dedicated Microsoft Dataverse environment under Smartex’s umbrella. Users authenticate via Microsoft Entra ID (Business login) and are assigned permissions in the client’s environment according to role (Admin, Manager, Employee). To use Smartex, your organisation needs active Microsoft user licensing for your team members. Typical UK pricing, excluding VAT, as of 2025:
- Power Apps Premium (per user): ~£15.40 per user per month.
- Power Pages authenticated users: ~£153.80 per 100 users per month (annual commitment).
What does onboarding look like?
Smartex uses a template-first onboarding model. You complete structured templates for processes, KPIs, and teams, then upload them directly into your secure environment. Smartex automatically maps this data into your KPI Dashboard and Productivity Pipeline. Optionally, you can include up to 12 months of historic KPI data during onboarding for month-on-month and year-on-year comparability. This is client-driven via simple Excel upload, no additional integration required. Start small and expand as you go.
Who sets KPI levels?
You do. Customers fill the templates with their current processes and their KPI thresholds. Smartex provides a universal executive lens (KPOs/KPIs) to keep comparisons clean across departments.
Can all employees be included in Productivity Pipeline monitoring?
Yes, up to your full workforce if you wish. Many clients begin with a few teams, then scale.
Implementation guidance: Smartex recommends onboarding process managers and key employees first, until the organisation becomes familiar with the Smartex system, then adding lower-tier employees over time via internal training.
The Productivity Pipeline encourages inclusiveness through participation and involvement, giving every employee a voice in how work is improved. In the future, Smartex plans to extend the TCOD system into a platform for employee-driven recommendations, allowing people to suggest ways to enhance processes and overall business performance.
Culture and outcomes
Does Smartex replace managers?
No. It supports them. Smartex clarifies priorities so managers spend less time firefighting and more time on managerial and strategic work.
What results should we expect?

Is Smartex accessible?

Built on Microsoft Power Platform, Smartex benefits from Microsoft’s alignment with WCAG 2.1 AA accessibility standards, with helpers in Power Pages and Power Apps used throughout Smartex’s design. Trust, Security and Compliance
Where is data stored?
In the Microsoft Dataverse on Microsoft Azure. Each client has its own secure, isolated environment in the UK or EU region, depending on configuration and legal requirements.
Is my company’s data secure?
Yes. Microsoft provides enterprise-grade encryption, continuous monitoring, and multi-layered data protection. Smartex inherits this security model through Power Platform.
Does Smartex comply with GDPR?
Yes. Smartex adheres to UK GDPR and EU GDPR principles, ensuring transparent processing and data minimisation. Microsoft’s certifications, such as ISO/IEC 27001 and ISO/IEC 27701, underpin Smartex’s data-handling framework.
Who can access my data?
Each client owns its environment under the Smartex licence model. Access is controlled by the client’s administrators via Microsoft Entra ID. Smartex staff cannot access client data without explicit authorisation.
What about uptime and business continuity?
Smartex operates within Microsoft’s global cloud environment, covered by a 99.9 percent uptime SLA. Redundant infrastructure and regular backups support reliability and resilience.
Practicalities
Do you offer SLAs and support?
Smartex is designed to be plug-and-play once set up. For platform questions, such as sign-in, access and imports, you will use our authorised support channel. We keep things simple and pragmatic.
What if we need to leave?
If you decide to leave Smartex, your subscription will end on the agreed termination date. Before service ends, you can export your own data, including imported processes, KPIs, TCOD submissions, and user/team details, directly through the Smartex portal. Clients are encouraged to complete exports at least 60 days before termination to ensure a smooth transition. Smartex’s software design, schema, and intellectual property remain protected and are not transferred. Clients retain full rights to their own data.
