About Smartex — Process Mapping, Productivity & Governance

About Smartex

What Smartex Is

Smartex is a fully integrated, real-time Executive Information System (EIS) and organisational improvement platform designed to help leaders run their organisation with clarity and control, while giving employees a simple way to contribute meaningful insight.

It brings together core business processes, performance measures, and cultural indicators into a single, evidence-based, dynamic executive view.

Instead of navigating conflicting reports, opinion-driven decisions, and operational noise, Smartex provides a clear system for alignment. Executives gain visibility and focus, while employees use a lightweight app to reflect on their work and raise issues early, without friction or bureaucracy.

Why Smartex Exists

Most organisations struggle not because people lack talent, but because systems, processes, and expectations are misaligned. Silos form, culture fragments, and “busy” work often masks deeper structural issues.

Smartex exists to remove that friction.

It maps how your organisation actually works, exposes hidden stress and inefficiency, and gives leaders the clarity they need to improve results while protecting their people. The aim is simple: a calmer, more effective organisation where everyone understands their role and how it connects to the overall strategy.

What You Get With Smartex

Smartex is delivered as a subscription-based (SaaS) Executive Information System built on Microsoft Power Platform. Each client is deployed into their own secure, Microsoft-protected environment, ensuring data isolation, security, and governance from day one.

The platform is released in structured phases (See cards below), providing organisations with a stable, usable core immediately, while additional capabilities and add-ons are introduced over time at no extra cost as the Smartiverse evolves.

If you join the beta and are successfully selected, you will receive heavily discounted service fees and become a Lifetime Partner, with your subscription fee protected from future increases.

Our way of saying thank you.

Smartex Competitive Advantage Survey, SCAS-Lite

A healthy, high-performing organisation begins with awareness.

After everything you’ve just read, this step is about understanding where your own organisation currently stands with its competitive advantage in your industry, its strengths, its stress points, and its opportunities for healthier, more aligned ways of working.

Many organisations still struggle to separate true value creation from “busy work”. Measuring time spent on value-adding work is often the first signal of how controllable and scalable the operation really is.
Q1. How do you define and gauge time spent on Add Value Activities?
  • 1. We don’t track this.
  • 2. We track some activities, but not against industry best practices.
  • 3. We systematically track add value activities and benchmark against best practices.

Pseudo Productivity looks and feels like output, but it adds no real value. It quietly drives overload, frustration, and cost.
Q2. How do you identify Pseudo Productivity (tasks that feel productive but add no real value)?
  • 1. We don’t, or we’re not sure what counts as pseudo productivity.
  • 2. We rely on managers or individuals to flag it, without a clear benchmark.
  • 3. We use defined criteria and benchmark against industry best practices to reduce pseudo productivity.

CIPD research consistently shows that excessive workload and knowledge worker administration overhead are leading causes of workplace stress, mental health issues, and sickness absence in the UK. Modern digitisation and poor systems often sit at the centre of this, quietly consuming time, increasing cognitive load, and pushing employees beyond sustainable capacity. Q3. How do you gauge Employee Administration Overhead (A/O) and stress levels?
  • 1. We rely on anecdotal feedback or reactive indicators.
  • 2. We use periodic surveys or indirect measures.
  • 3. We have ongoing, structured insight into administrative load and stress signals.
Please elaborate with a brief description to your answer if you like.

If productivity is not clearly defined, it gets replaced by activity, and activity gets replaced by pressure. Clear measurement is the foundation for fair improvement and competitive clarity.
Q4. How do you define and measure productivity in your organization?
  • 1. We don’t, we rely on assumptions (e.g. busy = productive).
  • 2. We measure it inconsistently or with general KPIs, but not against best practices.
  • 3. We have a clear definition of productivity for each process, measure effectively, and benchmark against best practices.
Please elaborate with a brief description to your answer if you like.

Organisations with clearly owned and visible processes that align with their strategy are better able to improve efficiency, reduce rework, and introduce technology without disruption.
Q5. How do you map your business processes and monitor Process Effectiveness & Efficiency?
  • 1. We don’t, or only when problems occur.
  • 2. We manually map some processes and review occasionally, but not against best practices.
  • 3. We systematically map and measure processes, benchmarking against best practices.
Please elaborate with a brief description to your answer if you like.

Automation should remove admin and friction, not shift work onto another team. The best opportunities are visible when work is clearly understood at task level.
Q6. How do you identify tasks that can be automated?
  • 1. We don’t.
  • 2. We rely on ad-hoc suggestions, without best practice benchmarks.
  • 3. We proactively review workflows and benchmark automation opportunities against best practices.
Please elaborate with a brief description to your answer if you like.

How organisations choose to reinvest time and profit gained from productivity improvements often reveals their long-term competitive intent.
Q7. What will you do with the additional time and profit gained from improving the points raised above?
  • 1. Gains are primarily absorbed into existing workloads or cost pressure.
  • 2. Gains are partially reinvested in people, customers, or efficiency.
  • 3. Gains are deliberately reinvested to improve wellbeing, capability, and competitive advantage.
